Job Purpose

The Personal Assistant will often act as the Chairman’s first point of contact with people from both inside and outside the organization. The successful candidate will be responsible for developing, maintaining and improving efficient and effective communication for all incoming and outgoing information from the office of the Chairman in a professional and courteous manner. They will be expected to effectively manage the Chairman’s extremely busy calendar.

Responsibilities include but are not limited to:
• Provide Executive & Personal assistance to the Chairman;
• Maintain the Chairman’s business & personal calendar;
• Manage all day-to-day activities of the Chairman, including all internal and external communications, calendar maintenance, and event planning;
• Coordinate extensive international & domestic travel arrangements for the Chairman; prepare details itineraries of travel plans;
• Travel to various domestic as well as international destinations to accompany the Chairman, as and when required;
• Organize and (attend meetings and take notes, if needed) ensure that the Chairman is well-prepared for meetings;
• Generate all confidential correspondence, reports and documents from the desk of the Chairman;
• Screen telephone calls, enquiries and requests, and handling them when appropriate;
• Coordinate with other departments such as Commercial, Development, Legal, HR & Admin, Finance, IT, and Executive Management

Requirements

Significant experience as a Personal Assistant, some within the Middle East.

Skills required

• Internet savvy and has strong MS office skills;
• Experienced in arranging international & domestic travels, hotel and transportation accommodations;
• Highly organized;
• Detail-oriented, reliable and has strong follow-up skills;
• Expert level written and verbal communication skills;
• High level of people skills and etiquette knowledge;
• Ability to take initiative and think in terms of solutions in the event that something goes off course with the schedule or travel plan;
• Time management capabilities;
• Ability to work independently;
• Strong proofreading and editing skills;
• Ability to handle confidential/sensitive information;
• Must be very sharp, intelligent, and quick to understand priorities;
• Strong organizational and data management skills;
• Exceptional interpersonal skills, both with internal management, as well as outside clients / customers.
